This policy explains how we process the personal data we collect through this website, in accordance with Regulation (EU) 2016/679 (GDPR) and Spain's Organic Law 3/2018 on the Protection of Personal Data and Guarantee of Digital Rights (LOPDGDD).
What data we process and why
- Contact form, email or WhatsApp: the details you give us when you write to us (name, email address or phone and your message), in order to answer your enquiry. The contact form sends the message to the club's email and the website does not keep any copy. Legal basis: your consent when contacting us (Art. 6.1.a GDPR).
- Membership application: the details in the application (name, surname, identity document, address, contact details and signature) and the options you tick, in order to process your admission and, if you are admitted, manage your membership. The website prepares the application as a PDF and sends it to the club's email; it does not keep any copy. Legal basis: the membership relationship you are applying for (Art. 6.1.b GDPR).
- Registration of interest in the School: the player's name, surname and date of birth; if they are a minor, the name and relationship of the father, mother or guardian; phone, email, experience and class preferences, in order to contact you and give you information. The details reach the club's email as a PDF and the website does not keep any copy. Legal basis: your consent when sending the form (Art. 6.1.a GDPR).
- Tournament and activity registrations: the data you provide in the registration form, in order to manage your participation, draw up standings and send them to the federation when necessary. Legal basis: carrying out your registration request (Art. 6.1.b GDPR). Tournament standings (name, club and results) are published on the website and on Chess-Results, as is usual in chess competitions.
- Cookies: the website only uses technical cookies (for example, to remember the language you choose) and, if you accept, those of Google Maps to show the map on the Contact page; we do not use statistics or advertising cookies. More information in the Cookie policy.
Minors
Children under 14 may not give us their data themselves: in that case, the information and consent must be provided by their parents or legal guardians (Art. 7 LOPDGDD). Images of minors are only published with the consent of their legal representatives.
How long we keep data
Contact details and School registration details are kept for as long as needed to deal with your request and, if you do not enrol, for one year at most. Members' details, for as long as they remain members and for the legal periods afterwards; if an application is not accepted, it is deleted within one month. Tournament registration details, for the sporting season and as long as needed to meet any legal liabilities.
Recipients
We do not share your data with third parties except where required by law or where necessary for the activity (for example, the chess federation for official tournaments). To run the website we use providers that process data on the club's behalf: web hosting (Hostinger), the club's email account, where the website's forms arrive (Gmail, by Google), and the registration forms for some tournaments (Google Forms). If you accept the map on the Contact page, Google Maps receives technical data about your connection, such as your IP address. Some of these providers may process data outside the European Economic Area; in that case they do so with the safeguards set out in the GDPR, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.
Your rights
You can exercise your rights of access, rectification, erasure, objection, restriction of processing and portability, and withdraw your consent at any time, by writing to beraunberaajedrez@gmail.com or by post to the address above. If you believe we have not handled your request properly, you can lodge a complaint with the Spanish Data Protection Agency (www.aepd.es).
Security
We apply reasonable technical and organisational measures to protect your data against loss, misuse or unauthorised access.
Changes to this policy
We may update this policy to reflect legal changes or changes in how the website works. Last updated: October 2026.
